Host Liberty Ltd is responsible for personal information collected through this website and its business enquiry channels. This notice explains what information we collect, how it is used and your rights. You can find our full contact details in the Contact Us section at the end of this page.
2. Information you provide
Our contact and quote forms ask for your name, email address, optional telephone number, service or area of interest, and message or project brief. They also require your acknowledgement that we may use those details to respond. Information you send by email, telephone or WhatsApp may include your contact details and the contents of your communication. Please avoid sending passwords, payment-card details or sensitive personal records through general enquiry channels.
3. How the website handles enquiries
The website sends submitted enquiry and quote details to support@hostlibertyltd.com by email. We use this information to respond to your request and prevent misuse of our enquiry forms. Hosting infrastructure may process technical information, including IP addresses, browser details, requested pages and timestamps, to operate and protect the website.
4. Why information is used and the legal basis
Enquiry information is used to respond, clarify requirements and prepare a proposal. Where you request steps towards a contract with us, the relevant basis is taking those steps or performing the contract. For business representatives and general communications, legitimate interests in handling business enquiries may apply, balanced against individual rights. Website security and administration may rely on legitimate interests; legal recordkeeping may rely on legal obligations. Where processing depends on consent, it can be withdrawn without affecting earlier lawful processing.
5. Recipients and service providers
HostViber provides our website hosting. Enquiries are delivered to our business email inbox and may be accessed by authorised Host Liberty staff in the UK and Nigeria to handle your request. Hosting and email infrastructure providers process information as needed to deliver those services. If you choose WhatsApp, that service processes your communications under its own privacy terms. Information may also be disclosed where required by law or necessary to establish, exercise or defend legal claims.
6. Retention
For enquiries that do not lead to a project, our retention policy is to delete personal enquiry records within 12 months after the last meaningful contact. This allows time for follow-up questions and proposal discussions without keeping inactive enquiries indefinitely. If an enquiry becomes a project, relevant correspondence forms part of the project record and is retained for delivery, agreed support, applicable accounting obligations and the period needed to address legal claims. Records subject to a legal obligation or an active dispute may be retained for that purpose until it ends. Copies in backups are subject to the provider’s backup lifecycle and should not be used for routine business purposes after deletion from active records.
7. International processing
Authorised staff at our Nigeria branch can access enquiries to respond and support our work. This means your information may be accessed outside the UK. Access by our own employees within the same legal entity is distinct from a transfer to a separate overseas organisation. Where a separate overseas recipient would create a restricted transfer, an applicable lawful transfer mechanism and any required assessment must be in place. 8. Cookies, analytics and marketing
The public website does not include advertising trackers or visitor analytics scripts. If you acknowledge the privacy notice, essential local storage remembers the notice version, essential-only setting and time for 180 days on this browser. Closing without saving creates no preference. You can reopen Cookie settings in the footer and remove the preference on the Cookie Policy page. This acknowledgement does not permit future optional tracking. Support links open WhatsApp only when selected; WhatsApp and other external services have their own privacy practices. Hosting infrastructure may process technical request logs to deliver and protect the site.
9. Your privacy rights
Depending on applicable law and the circumstances, you may request access, correction, deletion, restriction or portability of your information, and object to certain processing. You may withdraw consent where consent is the basis. These rights are not absolute; lawful exceptions may apply. Email support@hostlibertyltd.com with your request. We may need proportionate information to verify identity and will respond within the applicable legal timeframe.
10. Complaints
You can contact us about a privacy concern. You may also complain to the UK Information Commissioner’s Office at ico.org.uk or the Nigeria Data Protection Commission at ndpc.gov.ng, as applicable. You do not have to contact us before approaching a regulator.
11. Other websites and project data
This notice covers our website and business enquiries. External services have their own privacy notices. If a project involves processing personal data on a client’s behalf, the responsibilities, instructions and safeguards should be covered by a separate data-processing agreement.
12. Updates
We may update this notice when our services or data-handling practices change. The effective date identifies the current version. We will provide additional notice of material changes where required.
